How the AI email reply generator works
Most email replies follow the same shape: acknowledge the message, answer what was asked and say what happens next. This tool writes that reply for you. You paste the email you received, pick a tone and get a draft that answers the sender's actual questions in clear, polite language.
How the AI reads your email
The language model reads the whole message and works out what the sender wants: a question, a request, a complaint, a meeting time or a confirmation. It then writes a reply that addresses each point in order. If the email asks three questions, the reply answers three questions, instead of giving a vague "thanks for your message".
It writes only from what is in the email. It is told not to invent prices, delivery dates, policies or commitments, so wherever you need a specific fact it keeps the wording general. Add your own details, such as order numbers and dates, before you send.
Choosing a tone
Professional suits most work email. Friendly fits colleagues and long-term clients. Short and direct is for busy inboxes where a two-line answer is enough. Apologetic is for complaints and mistakes. Formal is for first contact with senior people, legal and official correspondence. Add your name and the reply is signed with it.
Emails it is good at
Customer questions and complaints, quote and meeting requests, follow-ups, thank-you notes, polite refusals, late replies and requests for more information. It works best on a single email or a short thread pasted as plain text.
What it cannot know
It does not see your calendar, orders, contracts or earlier conversations, so it cannot confirm facts that are not in the pasted text. Always read the draft, fill in specifics and make sure the commitment it makes is one you can keep.
Automating replies in your own product
The email reply API does the same job in code and can also use your own knowledge base and rules, so a support tool can suggest answers grounded in your real policies, with a person approving each one.
